The Executive Assistant will work closely with the CEO. The ideal candidate is responsible for handling daily administrative duties and completing a broad variety of administrative tasks, including but not limited to managing active calendar appointments, arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for meetings. He or she must be well-versed in constructing articulate emails and in delivering support to single or multiple dedicated executives.

The role of this position is to advise the CEO of his upcoming duties and commitments so that they can be anticipated in advance, resulting in smooth day-to-day interactions. Excellent organizational and interpersonal skills are required, as are good communication skills.

Specific Duties and Responsibilities

  • The following are the specific duties and responsibilities of the Executive Assistant

  • Email management; reviewing, prioritizing, drafting, and responding to emails for the CEO.

  • Manage the CEO’s calendar, book the needed meetings and act as a point of contact for setting up calls, meetings, and events.

  • Do research as needed for different topics (what products to buy, presents to buy, which

  • companies to connect with, etc.) And deliver concise summaries or build spreadsheets.

  • Keep track and update the CEO on specific events and follow up on deliverables.

  • Write Standard Operating Protocol (SOP) when needed.

  • Sit in on calls and meetings to take down specific tasks and minutes of the meeting.

  • Making purchases for different products when needed.

  • Handle administrative tasks for the company.

Qualifications

  • Bachelor’s Degree in any field.

  • At least 3 years of proven experience as an Executive Assistant for an executive position.

  • English Proficiency: Excellent written and verbal communication skills is a must.

  • Flexibility to deliver a professional day’s work

  • Good understanding of business and fast learner.

  • Ability to create Standard Operating Procedure (SOP).

  • Self-starter and go-getter: able to create immediate response and suggestions on certain

    tasks/projects and assists the CEO.

  • Can work independently and knows how to take initiative.

  • Can work and adapt in a fast-paced environment.

  • Must have flexible time; can work on shifting schedules (graveyard/nightshift) and office based

    set-up.

  • Knowledgeable in Microsoft Tools: MS Suite, Word, Excel, and PowerPoint.

  • Demonstrated experience in effective planning, coordinating, and scheduling.

  • Excellent organizational, analytical, and time-management skills.

  • With a pleasing and bubbly personality.
